Team collaboration

GovTribe helps your team stay on the same page. You can manage opportunities together, assign tasks, share files and research, and keep everyone up to date on what's happening.

This guide walks through the tools that make working together easier, from shared capture pipelines to AI conversations, team files, and usage settings.

01 / Capture

Keep your capture work in one place

Capture gives your team a shared place to track opportunities, see what's moving forward, and stay on top of next steps. Instead of managing separate spreadsheets and updates, everyone can work from the same information.

Dashboard

Get a quick view of your team's capture activity, pipeline value, pursuits, and upcoming tasks.

Capture → Dashboard

Pipelines

Organize opportunities into stages that match how your team works and track their progress.

Capture → Pipelines

Pursuits

Keep opportunity details, owners, deadlines, related records, and capture notes together.

Capture → Pursuits

Tasks

Assign follow-up work, set due dates, and see what's complete or still needs attention.

Get your team working together

1

Set up a pipeline. Open Pipelines → New Pipeline. Give it a name, choose your stages, and review which teammates can access it.

2

Add pursuits. Select New Pursuit or add one from a pipeline stage. Assign an owner and add the details your team needs to track.

3

Assign next steps. Open Tasks → New Task, connect the task to a pipeline and pursuit, choose a teammate, and set a due date.

Tip: Start with the Dashboard when you need a quick team check-in. You can see what's moving, what's due soon, and jump into the work that needs attention.

Need to add teammates?

Account owners and admins can go to Settings → Account → Users and select Add user to send invitations. You can also review available seats and account roles there.

02 / Shared files

Keep your team's work together

One of the easiest ways to work better together is to stop recreating work that's already been done. With GovTribe AI Files, your team can save, organize, find, and reuse documents in one shared library.

That includes files you've uploaded and files created with GovTribe AI, like capture briefs, proposal outlines, pricing workbooks, and research reports.

Share files

Workspace members with GovTribe AI access can find and work with files in the shared library.

Stay organized

Create folders, search by name, filter by file type or creator, and favorite files you use often.

Reuse your work

Bring an existing file into a new AI conversation and build on it instead of starting over.

Set up your shared library

1

Open GovTribe AI → Files to access your shared file library.

2

Select Create folder to organize work by customer, opportunity, or project. Use Upload file to add existing materials.

3

When you want to reuse something, find the file and select Use in chat. Choose a new or existing conversation and tell GovTribe AI what you'd like to do.

A few tips for shared files

✓

Use clear file names. Include the customer, opportunity, or purpose so teammates can find what they need.

✓

Agree on a folder structure. Keep it simple and consistent so everyone's saving things in the same place.

✓

Save useful AI outputs. Keep finished research, briefs, and templates in the shared library so the next person can pick up where you left off.

03 / AI conversations

Share your AI research

If you've already spent time researching something with GovTribe AI, your teammates shouldn't have to repeat the same work. You can share conversations, save useful results as files, and keep related AI work organized.

Share a conversation

Let a teammate see the questions you asked, the research AI found, and the conclusions you reached.

Open the conversation, select Share, create a link, and copy it.

Save something reusable

Sometimes your team needs the finished research or document, not the whole conversation.

Save the output as a file in your shared library so others can find it and use it in their own work.

Keep related conversations together

Use Projects in GovTribe AI to organize your own conversations and automations by customer, opportunity, or topic. When something is ready for the team, share the conversation or save the output as a file.

Tip: AI conversations aren't automatically shared with every teammate. Open the shared-link preview before sending it, especially if the conversation contains sensitive information.

04 / AI usage

Manage your team's AI usage

GovTribe AI uses credits for many of its features, and your team shares an account-level credit balance. GovTribe gives account owners and admins tools to see how credits are being used and set limits when needed.

See how credits are used

Check your balance and usage history, including activity by person or tool.

Settings → Account → Credits & usage → Usage

Set team limits

Account owners and admins can set monthly credit limits by person and control pay-as-you-go spending.

Credits & usage → Settings → Caps and limits

A quick note about credits

Credit limits help you manage usage, but they don't assign separate credit balances to each teammate. Everyone still uses the same account balance. You can review usage, buy more credits, and adjust settings as your team's needs change.

05 / Integrations

Keep your other tools in sync

Your team probably works in more than one app. With Zapier, you can connect GovTribe to tools like your CRM, spreadsheets, or team chat so information moves where it needs to go.

For example

Trigger

A pursuit is updated in GovTribe

Then → action

Zapier sends an update to your team's chat or CRM

To connect Zapier, open Settings → Connections → Integrations, select Connect to Zapier, and follow the prompts.

Tip: You can also connect Slack directly from Integrations to send GovTribe capture updates to a team channel.

A few tips for working as a team

✓

Keep ownership clear. Assign pursuits and tasks to the right teammates so everyone knows what they're responsible for.

✓

Share the work, not just the result. When it's helpful, share the research, source files, or conversation behind a recommendation.

✓

Build on what you've already done. Check your shared files and existing work before starting something new.
